A SmartArt is a visual representation of information in a Word document. It includes the use of different structured color schemes that provide specific meaning to the user. With the use of the SmartArt feature, we can explain complex information in a much simpler way.

In this article, we will follow some steps on how to insert and use "Smart Art" in Microsoft Word 2016:



Step 1:

Type “word 2016” into the Windows search bar located next to the Start icon. Click on the first option provided.

Step 2:

Click the "Insert" tab located in the upper left corner of the "Word" window. After clicking, a ribbon toolbar will appear which provides numerous options such as paging options, tables, illustrations, symbols etc.

In the “illustrations” section, click on “Smart Art”.

Step 3:

Choose one of the SmartArt graphics from the left section of the "SmartArt Graphics" window.

You can also select your SmartArt from the “All” list in the right section of the given window.

For example, we have selected a “Basic Process” diagram that shows a progression or sequential steps in an activity, process or workflow. To select it, click on "Process" located in the left section of the "SmartArt Graphics" window and select "Basic Process". Click "OK" to use this diagram.

Step 4:

Now, type the parameters in the “Text Box” window that are used in this workflow.

For example, we went into the basic process of developing a software. We have included stages such as Basic, Intermediate and Advanced.



Step 5:

If you need to enlarge the size of any of the boxes, click on any of the boxes and drag the circle icon away from the box to enlarge it.

So, it will look like this:

Step 6:

If you wish to change the color of the boxes, click on “Change colors” and select a suitable color by clicking on it.

For example, we have selected “colorful - accent colors” which has the colors orange, gray and yellow respectively.

Step 7:

If you want to change the color of a specific box, right click on the box and click “Fill”.


Now, select any of the themed colors by moving the cursor over it. Click on the desired color to change the current box color. For example, we have selected the blue color from the theme color list.

Step 8:

If you want to change the outline of a specific box, right click on the box and click on “outline”. Therefore, the outline will provide the list of outline colors and the weight of the outline colors. The heavier the weight, the thicker the outline will increase.


Now select one of the theme colors by moving the cursor over it. Click the desired color to change the current outline color of the box.

For example, we have selected a weighting scheme of 2¼ pt. having a black themed color.

Step 9:

If you want to change the style of a specific box, right click on the box and click “Style”. The style changes the font color and theme color appearance in the given box.

Step 10:

If you want to change the shape of a specific box, right click on the box and click “Edit Shape”. You can select any shape from the list of given shapes by clicking on the desired shape.

For example, we selected a “mirror image triangle” from the flowchart section.

Now it will appear on the word page as in the screenshot given:
